What makes an online fax service secure?

Sending a fax online involves several steps: uploading the document, preparing it for transmission, routing it to the recipient, and managing the associated information.

A secure online fax service should address the risks associated with each step.

At Faxer, our approach focuses on protecting information through encryption, limiting internal access, using established infrastructure providers, and providing visibility into fax delivery.

These safeguards work together to support document protection throughout the digital fax workflow.

How Faxer protects your documents

Encryption for data in transit, encryption for supported stored data, and internal access controls.

TLS 1.3 encryption in transit

Connections between your device and Faxer’s servers use TLS 1.3. It helps prevent unauthorized parties from reading or altering your document as it is uploaded.

This covers Faxer’s digital connections only. The final fax transmission depends on the receiving network and equipment, which may not use the same encryption.

AES-256 encryption for stored data

Faxer uses AES-256, a widely used encryption standard, to protect stored documents and associated sensitive data within its supported storage environments.

Restricted internal access

Internal access controls are designed to restrict access to data according to operational requirements. They help limit unnecessary exposure during service operation, maintenance and support.

Trusted technology providers

Four specialized providers, each with a defined role in sending your fax.

Cloud infrastructure

Google

Hosts and operates Faxer’s digital services.

Fax transmission

Documo

Connects Faxer’s digital workflow with fax delivery infrastructure.

Document conversion

ConvertAPI

Converts supported documents and images into formats suitable for faxing.

Payment processing

Stripe

Handles payments on infrastructure designed around PCI DSS requirements, separately from your documents.

Secure fax delivery and tracking

Security also depends on sending to the right destination and knowing what happened afterward.

  • You verify the recipient

Check the recipient’s fax number before sending, including the country code for international faxes. This helps reduce the risk of sending documents to an unintended recipient.

  • Faxer shows the outcome

Delivery status and confirmation show whether your document was transmitted successfully, without relying on a physical fax machine.

A successful transmission does not establish who accessed the document after it reached the receiving fax system.

Data storage, privacy and retention

Stored documents and data are protected with AES-256 encryption and internal access controls. How long records are kept is a separate question.

Document uploads, converted files, fax history and delivery records may each have different processing and storage requirements. Faxer’s Privacy and Cookie Policy explains how personal data is processed, stored and retained, including retention tied to account status and legal obligations.

Exact retention and deletion schedules for uploads, converted files and individual fax records are not specified on this page. If you have specific retention or deletion requirements, confirm them with support before sending.
